THE PAPERLESS PRACTICE – IS IT FOR YOU?

Space
All practices will know only too well how much physical office space paper patient files occupy. Filing cabinets, shelves, archive boxes take up expensive office space which could be put to better use, like adding an extra desk for example. Have you ever added up the rental cost?

Access to notes
The daily task of retrieving patient notes ready for the next clinic takes longer than you think. How many times has a file not been put back in the right place, causing everyone in the office to stop what they are doing until it is found?
Retrieving the notes from practice management systems, such as Crosscare, Practice Manager, MedDbase, Midex Pro, PHF or PPM is instant and more reliable. You can always retain a back-up disc in the office in case of power failure.
Retrievals are possible using either patient details (Surname, DOB etc), but also by using keywords like a referring GP, treatment, condition etc.
 
Remote working
The portability of paper files is becoming more of an issue as consultants increasingly practice in more than one location, but still require access to valuable patient data.
Electronic records can be viewed on a laptop, with ‘live’ data possible with a wireless internet connection.
 
Filing
Countless practices print internally created documents (patient correspondence for example) only to put straight in the patient file. This practice is unnecessary and a waste of time, paper and space!
Maintaining a paperless system going forward is easy with a small desktop scanner, and is faster than paper filing.
 
Disaster recovery
I am sure readers of this article back up their computer files on a regular basis, this is common practice. But what about the paper files?
A fire, flood or burst pipe will destroy the notes leaving you at risk from industry regulators. Your obligation to retain patient data is clear, leaving you vulnerable in the event of a claim.
Creating a digital copy of the notes ensures you have disaster recovery solution through back-up copies.
 
Viewing the notes
This is a key factor when considering the options. Making the transition from using the paper file in a clinic to a computer screen isn’t easy, especially if not used to a PC. Personal preference counts for a lot here, but generally the sceptics come round when all benefits are considered. Large screens, with high resolution images for zooming capability gives excellent results. Seeing is believing!
Maintaining a paperless practice is now easier than ever with some excellent products available for recording clinic notes. For example tablets can be used to simulate the pen and paper, whist recording directly to the electronic file.
 
Confidentiality
Your Data Protection responsibility is a key consideration when storing patient data. Are the paper files suitably secure from unauthorised access?
By scanning the files in accordance with the relevant British Standards, and then storing that data with controlled access, ensures the data is more secure in electronic form.
