In the last week of June our intrepid Managing Director, Tim Myatt, conquered the Three Peaks Yacht Race for the second time, with all the sponsorship and proceeds from a glitzy after race party, attended by 250 guests, all going to the James Myatt Trust to take disadvantaged children on challenging sailing holidays.
Tim and the other 4 members of the Torbellino Team, were thrilled to gain a very creditable 6th place this year, a full 6 place improvement on last years 12th position. The gruelling race, which takes 5 days and nights to complete, starting in North Wales, and sailing to the Highlands of Scotland, requires each team to race up Britains highest peaks, Snowdon in Wales, Scafell in England and culminating in Ben Nevis in Scotland.
Microstat believe this is a most valuable charity to support, and hopes the team will endeavour to raise more money next year and see if they can achieve a podium finish!

Microstat are very pleased to announce that Tim Myatt is promoted to Managing Director with immediate effect. Founder of Microstat, Steve Cave, announced the promotion at the Company AGM, declaring that the appointment marked a new period in the development of the Company and added ” Tim has really earned this promotion, coming as it does after 4 years at Microstat, during which time he has achieved great things for the company, including the gaining of £1million worth of new business, the launch of our web based hosting system, Filing on the web.com and the setting up and overseeing of our data transcription facility. He has worked tirelessly to see that all of his projects and the company in general is a success. I can also attribute our success in the private medical sector, where we serve 53 clinics and practices with document scanning and a whole host of document management services down to Tims efforrts. In addition he has proved to be a loyal, helpful and reliable member of the whole Microstat team, well liked and respected for his technical knowledge and level headed thinking. Microstat are very pleased to announce that they have taken delivery of the very latest microfiche scanning equipment from Wicks and Wilson. This is because Microfiche scanning and microfilm scanning is an important part of Microstats business. Converting microfilm and microfiche to PDF or TIF format is becoming increasingly important to organizations.
After carefully evaluating the market we settled on Wicks and Wilson FS 300 microfiche scanners to give us the best possible equipment for high speed and high quality images from microfiche. This is in addition to our ability to scan from microfilm in reel format and microfilm drawings in aperture cards.
Commenting on this latest purchase, Managing Director, Steve Cave added, ‘ We strongly believe that we are able to handle any job of any size very quickly indeed with this latest investment. Myself and my team were very impressed with the speed and quality offered by Wicks and Wilson kit – and the fact that they are designed and built in Britain is the icing on the cake, I think it is superb that we can invest in a home grown product!’
We have already scanned 10,000 microfiche for a client within a matter of weeks of taking delivery, and the results so impressed the client, a repeat order has already been secured.

When choosing a quality and reliable supplier, one of the most important qualifications is to ask the right questions. Here are a few fundamental facts to check:
1. Does the company meet the BDP0008 standard – the British standard, which ensures the legal admissibility of the scanned documents? If not, your electronic documents may not be valid in a legal situation.
2. Is there a meticulous logging system in place that guarantees that at anytime, a client can have one of their files located and sent to them.
3. Can they demonstrate a quality assurance check
4. Does the company employ highly trained operators experinced in all aspects of scanning, and have they signed confidentiality agreements as part of their terms of employment contract?
5. Is the Bureau regiseterd with the Data Protection Agency
6. Does the bureau offer Disaster recovery service to all their clients
7. Can they provide client contact details to obtain direct references

Keeping on top quality in a scanning bureau is far from easy. Mistakes in scanning and indexing are easily made if the correct procedures are not followed to the letter, and a quality ‘culture’ does not exist in all stages of production. We pride ourselves in having both robust procedures in place plus a natural desire from all staff to produce error free work.
We have three key procedures in place which are applied to every job that passes through Microstat’s doors.
- Every scanned image is checked twice, firstly by the scanning operator on an oversized screen and then by a separate quality control officer who checks every thumbnail image for double feeds, image quality, orientation etc, etc. We are unique in our industry for this 100% check, and illustrates the importance we put on delivering a quality product. This physical check is used in conjunction with technology, where our scanners use ultrasound technology to detect double feeds into the machine and we have invested heavily in Kofax software to auto-correct skewed and poor quality images.
- We double key all index fields, so errors are brought to light. This is achieved by two separate operators keying the same data on separate machines and then compared for accuracy.
- When a new job is booked into the building, every box is given a unique reference number so the documents can be traced, at any stage of production, through the bureau. This complete ‘track and trace’ system ensure we are able to operate our 5% interim quality control checks.
These have been developed over 26 years of hands on experience, and our customers will vouch for the standards we routinely deliver.

More and more of Microstat’s clients are having their scanned images hosted on-line rather than on disc. On-line, the images are available 24/7, with access via any PC with an internet connection. This gives enormous flexibility to companies wishing to have field based staff access their images on a clients premises for example. Managing Director, Steve Cave says “The proportion of customers taking the hosted option is up 25% on last year, and that figure is growing”
Apart from remote access to your images, there are a number of other benefits to consider. Any new job that is sent for scanning by Microstat can be instantly added to the website (Filing on the Web), reducing considerably delivery times. This service is also more secure, with all images encrypted against unauthorised access. This is not necessarily the case with CD’s.
If any of the images needed to be edited for any reason, this can be completed on-line in minutes as opposed to having to re-burn the discs and wait for them to be shipped.
